Telehealth Integration with Patient Flow Tracking

In Patient Flow Tracking (Patient Check In/Flow Tracking) in Intergy Desktop, and in Intergy EHR you can track your patient's telehealth appointments with arrival (ARR) and in progress (IP) events.

Requires Intergy 12.15 or later.

You will need to manually record the Check-In (IN) and Check-Out (OUT) events. See below for more information.

Telehealth Events in Patient Flow Tracking

In any row that has a '' in the Telehealth column, the following events appear in the Event column in Patient Flow Tracking depending on whether a patient verifies a telehealth appointment and the stage of a virtual visit (arrival or in progress).

  • When a patient verifies an appointment, the Arrival (ARR) event appears in the Event column.

  • When a user starts a call with a patient that has verified an appointment the In Progress (IP) event appears in the Event column.

Launch Virtual Waiting Room in Patient Flow Tracking

To launch your Virtual Waiting Room from Patient Flow Tracking, select the Virtual Waiting Room button.

Telehealth Events in Intergy EHR

For any row that has a blue laptop icon in the My Day (Summary or Appt tab), the following events appear depending on whether a patient verifies an appointment and the stage of a virtual visit (arrival, in progress, check-out).

  • When a patient verifies an appointment, the Arrival (ARR) event appears in the patient's appointment row and in the purple tab.

  • When a user starts a call with a patient that has verified an appointment the In Progress (IP) event appears in patient's appointment row and in the purple tab.

Manually Record Check-In (IN) and Check-Out (OUT) Events

Since Greenway Telehealth does not automatically track Check-In and Check-Out events in Intergy, your practice may want to manually track these events. See below for instructions for adding Check-In and Check-Out events in Intergy Desktop and Intergy EHR.

Intergy Desktop

1. Select PatientCheck In/Flow Tracking.
2. In the Patient Flow Tracking window, either double-click on the patient for whom you want to record an event to open the Record Event window, or right-click on the appointment row and then select Record Event.
3. In the Record Event window, select the Event Code drop down.
4. In the Select Patient Flow Event window, select IN Check-In or OUT Check-Out event.

5. Select OK.
6. The recorded event (IN or OUT) for the patient displays in the Event column.

To undo a recorded event, right-click on the patient's appointment row and then select Undo Last Event.

Intergy EHR

1. In My Day > Appt (or Summary), right-click on a patient's appointment and then select Flow Tracking.

2. In the Select Event window, select either Check-In or Check-Out.

3. In the Record Event window, verify the appointment information and event, and then select Save.

If you need to change the type of event, select the New Event drop down and then select an event.

4. The recorded event (IN or OUT) for the patient displays in the patient's appointment row.

Patient Flow Tracking Error

If Patient Flow Tracking is down, the following error displays while in a virtual visit with you patient. If this error occurs, you will need to update flow tracking manually in Intergy.

Note

In Patient Flow Tracking, there is the possible error of two Arrival (ARR) events recorded instead of one when a patient has two appointments on the same day at the same time (one is a Telehealth appointment and the other is a non-Telehealth appointment). The non-Telehealth appointment could be recorded as ARR incorrectly.

On the Verify Appointment window in Greenway Telehealth, when a patient is attempting to verify the Telehealth appointment information, it is possible that the patient could verify the non-Telehealth appointment by mistake.

When the non-Telehealth appointment is verified, the ARR event is recorded automatically, which is incorrect. Then, if the provider matches the Telehealth appointment, the ARR event also is recorded automatically, which is correct.

Therefore, both the Telehealth appointment and the non-Telehealth appointment have the ARR status. The non-Telehealth appointment status is incorrect and should not have had the ARR event recorded. You can manually correct the status of the non-Telehealth appointment in Patient Flow Tracking.
